User£º Toy Factory in Dongguan China
Our customer is an OEM toy manufacturer with more than TEN years production experience in different type of products. They have strong and experienced management team and a large labour force (400 staff and 6,000 labour with a factory site of 25,000 square meters). The factory is located at Dong Guan, China and the sales office is in Hong Kong. They have a variety of production lines covering products of Plastic, Roto casting, Electronics, Soft and Hard toys.

User Requirement and Capacity Specification:
¡¡

-         System must support more than 400 users simultaneously

-         Daily data transmission over the network is about 9 -12 GB

-         Any authorized workstation inside the factory should use IE browser to access the system

-         System should response within 5-10 second for web page refreshing

-         System should be accessed through the internet with high security protection

-         No need to install third-party programs for using new system

-         All software should be legal and have copyrights

-         With Non-production data, the system database will increase at 10,000 ¨C 20,000 transactions per day

-         With Production and Payroll data, the system database will increase 50,000 ¨C 100,000 transactions per day

-         Data growth estimates about 2 -4 GB per year

-         The System capacity should support 3 years history online enquiry and 7 years offline records

-         Support remote site real-time data backup

-         Financial Data and other data must be separated at different locations

-         The System must have Requirement of Production Material control features

-         The System should manage the production and non-production cash flows

-         The System should manage the WIP or Semi-product and Finish Goods inventory

-          There will be 1,500 BOM per year ( Each BOM may had 2 -10 versions)

-          Large volume of non database documents (such as Excel, Word, PowerPoint, Pictures, AutoCAD Files) will need to upload into the system as reference

-         There should be Department level Operation Manual and Training materials available

-         The System should provide security management for different user group to access the sensitive information such as quotation or BOM

-         All outgoing documents (such Invoice, PO, DO etc) must be gone through THREE level audit checking steps. The System should support workflow control for document issuing, printing and approval.

-         An notification email should be automatically sent to related users when a document issued

-         System must be provide tracking records for any workflow enabled document

-         System should allow users to be customized in post-implementation

-         System should allow users to add new Report freely

-         System should provide access control management such as report printing right, add new record, amend data or delete rights

-         System should be provided user operation trace and track audit log, it can trace any user all operation within ERP system included the Administrator

-         System workflow must follow the factory daily operation, the forms or reports named in new System should also be same as existing name which being used in factory

Reasons:

-         User requirement may be changed drastically between the development stage and the production stage

-         User wants the post-deployment enhancement. They want to do the adjustment by themselves

Software Development

 

Flexibility Study:

-         Client site already had strong IT hardware and network infrastructure (Optical Network installed with new PCs) in their factory. However, the overall computer skill level was variable. For example, the engineers. The senior staffs and the old engineers are weak in their general computer skills.

-         The inventory data was not accurate because of unqualified warehouse management staffs

-         The supervisory on purchase process from the management was not enough, as a result it was easier to overlook the problem PO which caused the company losing money

-         The heavy workload of PMC department also creates a lot problems that eventually affected the performance of production

-         Sub-Contracting Purchase Order without higher level of management involvement, it lost the control over the product quality from those suppliers and delaying the delivery of final products

-         Decreasing in quality of Customer Service as no one follow-up the customer request. The high turnover rate of staffing in the Sales & Marketing Department is a big problem

-         The Production Schedule also changes during the peak season, it interrupts the pre-defined production plan and cause troubles in material supply and labor force arrangement

-         Their IT department is strong in computer hardware and network maintenance, however they could not take any active role to solve the mention problem

 

MAKEIT and the factory top management held several meetings to discuss and analyze workflow process to address the above problem with the following solution suggestion.

-         Restructuring of all departments¡¯ workflow processes. Define the timeline and separate the implementation in three phases

-         Prepare the training plan and hardware upgrade schedules

-         Project Manager and System Analyst will analyze and design the system

-         Organizing the software development team to prepare the program coding.  

Project Implementation

MAKEIT has many years of experience and professional knowledge to implement the large scale software project.

-         Large scale project implementation must be broken down into several Phases (normally 3-4 Months as a phase)

-         The project team should interactively exchange the ideas with customer at all the time during the implementation

-         At the beginning stage user may not have any idea how to use the system. After the system deployed and user will come out a lot of requests to solve their problems

-         System prototype should be completed within 2-3 months in order to provide the live system to end-user for user acceptation test and feedback

-         The implementation time should be selected carefully to avoid the peak season of production

-         During project early stage there will be a large number of junior programmers who were response for customization work for new system. The experienced professionals will participate during the deployment phase that will be response for user training, problem solving and high-level user meeting.  

-         Sub-Contracting operation model help us to increase the productivity and control the budget cost at the same time.
